Booking a Company Transfer: Which Documents Does Finance Need?
Separate company budget approval, the transport quotation and payment evidence before booking a Singapore–Malaysia transfer. Confirm required documents without assuming reimbursement.

Ask your finance team what it needs before you commit to a company-funded transfer. Then ask the transport provider what documents it can actually supply, in whose name and at what stage. A quote helps describe the proposed service; it does not by itself prove payment, a completed journey or approval for reimbursement.
This is a trip-document preparation guide, not tax advice, an assurance of deductibility or a promise that our transport service issues a particular invoice format. No supplier’s tax-registration status, credit terms or corporate account arrangement is inferred here.

Three records can answer three different questions
Budget approval asks whether the company authorises the expense. The accepted quote records the agreed transport scope and amount. A receipt or other acknowledged payment record concerns money received. Keep those roles distinct: forwarding a quote is not proof that finance approved it, and a bank-transfer screenshot does not explain every part of the journey. IRAS’s company record-keeping guidance says businesses should retain source documents and be able to explain their transactions; it specifically notes that bank statements alone are insufficient. Your finance team decides what applies to your situation.
Get the company’s requirements before asking for a format
Ask who must approve the trip, which legal entity or traveller name should appear, whether a purchase-order reference is needed, and what evidence the company expects after payment or travel. Obtain an example or written requirement from finance if the wording is unclear. Do not invent a universal corporate template or assume that a chat headed invoice satisfies it. If your employer requires a document the provider cannot confirm, resolve that mismatch before booking, not after the expense has already been incurred.
Ask the provider what it can actually issue
Send the relevant billing-name and reference requirements, then ask which document is available and when it is issued. Keep a proposed quotation, a booking confirmation and an acknowledgement of payment separately named. Do not presume that calling a document a tax invoice changes the supplier’s status or your company’s entitlement. Confirm the agreed currency and service description as well as the amount. This article does not offer credit, direct billing, a tax invoice or a specific receipt-processing time.
Keep one traceable trip brief with the accepted quote
Retain the trip date, requested journey, agreed stops and accepted total alongside the provider’s confirmation. If a deposit and later balance are involved under the actual booking terms, keep the acknowledgements distinguishable rather than treating the first payment as proof that the whole amount is settled. These are records to request, not a claim that a deposit arrangement is offered. A colleague reviewing the file should be able to understand which service each amount concerns without reading unrelated private conversations.
A changed trip needs a clear update, not an edited old receipt
When dates, stops or the confirmed amount change, ask for the updated transport confirmation and any appropriate corrected document from the issuer. Keep the old and new versions identifiable so finance can follow the change. Do not alter a supplier document yourself or silently combine a personal side trip with the approved business journey. If the scope includes both business and private elements, ask finance how it wants them explained instead of using this travel article as an allocation or tax rule.
Share only what the transport enquiry needs
Use our price-scope page and accurate-quote form to describe the actual journey, then raise your document requirement before accepting an arrangement. A billing name, business reference and appropriate contact may be relevant; banking passwords, OTPs and unrelated staff records are not. Confirm the vehicle, availability, final fare and booking terms separately. Neither finance approval nor this checklist reserves a car, and an available car does not guarantee that your company will accept the expense claim.
